Pricing of Appointment Services

Price per service

This is set when creating a service (Appointments > Service > New Service).

Control service prices for specific teachers

This can be done from Appointments > Services > click directly on the service > next to the staff member, click the dropdown menu to the right > edit teacher price. This controls the price for the service when booked with this teacher.

Price Levels

Price Levels expands on the logic explained above -- it allows you to charge customers different rates based on your staff's level of expertise in performing that specific service. Here's how to set them up.

Create your price levels

Head to Appointments > Services > Price Levels. (Ex. senior, junior, trainee).

Enable price levels per service

Edit a service > scroll to Pricing & Customers > toggle on 'Specify prices per Level.' Set your prices per level for that service.

Assign levels to staff for each service

Saving will land you on the service's detail page, where you'll see a list of staff assigned to this service. Click on a staff member's name. Click the Actions button (top right) > edit 'Appointment price level' > Save changes.

Scheduling will now display your price levels to customers based on what's been assigned per teacher.

Note: you can always override a specific price level rate from a service details page. Just edit the teacher's pay rate (use the dropdown menu to the right of their name) and edit pay rate. This might be done if you have a specific teacher who is above even your senior price level and you want to make a one off exception.

View / edit all existing price levels

Click Appointments > Services > Price Levels > Bulk Price Management.

Payments

How do customers pay?

Customers can pay:

  • During a self-checkout (when they're scheduling themselves)

  • For unpaid Appointments from their Momence account on web

You can also ring them via:

  • POS (select the customer > click Appointments)

  • A payment link from the appointment's details pop up

Accept subscription or pack payments

Click Memberships > Subscriptions/Packs > Create. Name it, price it, choose how many credits the customer will get.

Under 'what it can be used for' select the Appointment services. Uncheck any classes that should not be included.

Save changes > To make it publicly discoverable, return to the subscriptions and packs index page and toggle on 'Featured at checkout'.

Now any customer that's self-scheduling a service included in this membership will see an option to buy the membership at checkout.

Charge for appointments in credits

Click Appointments > Services > edit a service using its dropdown menu > scroll down to Pricing & Customers and update the 'Price in appointment credits' cost.

Checkout price display options

From Settings > Offerings > Appointment Settings you'll find options to show pricing in currency, credits, both, or none.

Your settings choice will display on both the mobile app and on web for your self scheduling customers.

Checkout payment options per service

With individual appointment services you can control if customers will need to:

  • Pay the full price

  • Pay a deposit (and how much)

  • Pay later, requiring them to put a card down

  • Pay later without having to put a card down

To add a Checkout Payment Option to a service, click Appointments > Services > edit a service and scroll to Checkout Payment options (just below Price).

Will these settings be enforced on both staff and customers?

These settings are just for when customer's are booking on their own. For instance, staff will not be required to put a card down to book and appointment.

Where can I preview what customers see?

Click Appointments > Schedule > Checkout > choose the item you just adjusted.

Unpaid appointments

View unpaid appointments

Pull up point of sale (Home > POS) > select the customer > select appointments. All unpaid appointments will show in the dropdown and can be added to the cart.

Can Appointment Services be booked without paying?

Yes. And, you can control if this is possible.

Note: the default option for all appointment services is that self scheduling customers need to pay the full price to book the service.

You can remove this requirement from: Appointments > Services > editing a service > scroll to 'Checkout Payment Options' > choose 'Pay Later.'

How is payment handled later?

Customers can see (and pay for) their own unpaid appointments from their customer dashboard (by clicking Appointments).

You can also see their unpaid appointments (and ring them up for them) from Home > POS > select the customer > select Appointments.

Why am I seeing a payment split between customers?

This can happen when a service doesn't have a setting enabled called 'Price per customer'.

For example, if you have this setting disabled, and the service costs 1 credit, and there are 2 customers booked to an appointment for this service, they will each pay 0.5 credits.

You'll find this setting from Appointments > Services > edit the service > scroll to Pricing & Customers.

Note that this change will only appointments booked after the change was made. It will not appointments that have already been booked. Existing appointments can be cancelled, refunded and rescheduled with the new pricing if needed.

Deposits

What's the customer experience?

When self serving, customers will first see the price of the service. Then, near the bottom of the checkout page they'll be presented with the deposit requirement.

Require a deposit for a service

Click Appointments > Services > select a service and click Edit > under Pricing & Customers > Checkout Payment Options > select Pay Deposit > then choose either Percentage of the service price or Fixed price.

Then choose whether to require the deposit payment on checkout.

How can staff take a deposits?

Staff that book appointments from the schedule page will see a 'book & pay' option.

If they've selected a service that requires a deposit, and click 'book & pay,' they'll be presented with a quick sale to take the deposit. A paid deposit updates the appointment to show as orange.

How can staff skip the deposit step, charge full price?

Click the appointment > to the right of the customer's name, click the dropdown menu > choose Pay Now.

Tips

Take tips in POS or Staff-facing schedule

The option to tip will show in POS (Home > Point of Sale) when a service has been added to a cart.

It will also show when a staff member rings up a customer from the appointment schedule, by clicking the appointment and clicking Pay. The tip option will show next to the service in the cart.

In both cases, after clicking 'Tip', pre-populated amounts are shown. You can now turn this screen to the customer to select their choice before you complete the sale.

Change the preset percentages shown to the customer

Click Settings > General Set-up > scroll down the bottom where you'll find Tipping. Save changes when done.

View tips in combined payroll report

Click Analytics > Reports > Combined Payroll Report. At the bottom of an individual teacher's report, you'll find section dedicated to tips.

Healthcare

Mark Appointments as Paid by Healthcare Invoice; Then Invoice Insurance

If you plan to invoice a customer's insurance for an appointment and need a way to mark the appointment as 'to be paid' in the meantime, you can use a Custom Payment Method.

Later on, when you send the invoice to the customer's insurance, the pdf will list the custom payment method you created. (Ex.. 'To be paid by insurance' etc). This payment status will also show in any reports you're viewing that contain this appointment.

How do I set this up?

Before you start, make sure you've done the following things:

  • Assign Healthcare provider codes

  • Add your customer's insurance info

We'll cover how to do both below.

Assign Healthcare Provider Codes

For Your business: click Settings > General Setup > scroll to bottom > Add code and, if needed your Bank Account info for insurance companies to route payments to you.

For Staff: Click Studio Setup > Teachers > click the drop down next to their name > click Edit > add Healthcare provider codes > Add code.

For Services: Click Appointments > Services > choose the service > click Edit > scroll to Additional settings > Healthcare provider codes > add code

Add a customer's insurance info

Click Customers > Customer List > select the customer > click the pencil icon next to their name > click Insurance Info > add info.

Add a custom payment method

Click Settings Settings > Custom payment methods > Actions > Create new custom payment method > Name it something like 'Invoiced to Insurance', 'to be paid by insurance' or something similar.

This payment method will now show anywhere you're taking payment for something under Payment Method > 'Other'.


​Mark an Appointment as paid by invoice

You can go two ways here: Open POS; or navigate to the appointment.

From the Appointment

Click Appointments > Schedule > locate the reservation > click it and choose Pay > choose 'Other' > select your custom named option and confirm payment.

From POS

Select the customer > add the unpaid appointment to the cart > under 'Payment', choose 'Other' > select the custom payment method.

The reservation on the schedule page will now show as paid (green) and, in the invoice you'll send later, the selected custom payment method will display.

In addition, this payment method will display in any reports where you're viewing this appointment, so you can easily track that the payment was made "off-system" via invoice.

Send the invoice to the customer's insurance

If you've marked an appointment as to be paid by invoice (your custom method), you can now generate and send a pdf to the customer's insurance.

From the appointment details page, click the dropdown menu next to the customer's name > Generate healthcare provider invoice.

This can also be done from a customer's profile. Just click Activity > History > locate the appointment and click the dropdown menu > Generate healthcare provider invoice.

Send insurance an invoice if customer paid with a subscription

If this is the case, an invoice can be sent for these purchases via their customer profile page. Under Active Subscriptions > click the dropdown to the right of the subscription > Generate healthcare provider invoice.

​Pay Rates / Payroll

Set the default pay rate on an appointment board

Click Appointments > Boards > on the staff tab, use the checkboxes next to staff to select who's pay rate you'll edit > then select 'edit pay rate'.

Assign pay rates per Appointment Service, per teacher

You may already have a default pay rate set up for a teacher when they're teaching all classes or appointments. But for certain appointment services, you may want a different default pay rate to be automatically assigned for that teacher.

You can set this exception up by: clicking Appointments > Services > and clicking on the service (not editing it).

This lands you on a page where you can see the current default rate assigned for each teacher. To update the default pay rate per teacher for this service:

Click the dropdown menu to the right of the teacher's name > then Edit Pay Rate.

Now, when you go to:

  • schedule an appointment,

  • select this service,

  • then select this staff member to teach it,

this pay rate will auto-populate as the default.

Why is my teacher not getting paid for an appointment?

Double-check that this appointment has a pay rate assigned. Assign one if needed, then check that the change is reflected in the upcoming payroll report.

In the payroll report, use the 'Apply filters' button to refresh the report. Refreshing the page will not result in updated numbers.

If that resolves the issue, consider assigning assigning default pay rates to your services for each teacher to avoid having to remember to assign the pay rate each time you schedule an appointment. To do this, click Appointments > Services > click the service.
