Usage limit settings with subscriptions

A usage based subscription gives x amount of class or appointment credits per billing cycle.

Examples include:

  • 5 class credits a month

  • 5 appointment credits a month

  • 5 class credits a month & 5 appointment credits a month

  • 10 credits that can be used on either classes or appointments (combined usage)

To set one up, click Memberships > Subscriptions and Packs > Add new

Name it

Choose the duration setting (the billing duration at which it will repeat).

Under usage limit settings toggle on 'this subscription has a usage limit' > choose how many class credits the customer will get per billing cycle.


Below, you'll find a toggle that allows you to separate the usage limit interval from the renewal. (ie. if you have one month as the renewal, and you have a total of 12 credits given per month, separating the usage limit from the renewal will allow you to give 3 credits every week instead of 12 a month).


Below that, make sure to toggle on 'this subscription Auto-renewals'.

As always, make sure this subscription includes access only to the things you'd like it to.

Create an auto-renewing usage-based subscription

Usage based subscriptions allow you to give a limited number of class or appointment credits per billing cycle. For example, you could have a subscription that gives 10 class credits per month. This is a helpful approach if you are looking to offer to more restricted (and more affordable) monthly membership than, say, an unlimited one.

Then scroll to 'Usage limit settings' > toggle on 'This subscription has a usage limit' > choose how many class credits to give & how many appointment credits to give.

Note that you can combine these (allow them to be used on either classes or appointments by using the toggle for 'Combine usage limit between classes and appointments.'

The last two settings to be aware of are:

  • 'Separate usage limit from renewals' which allows you to give credits more often than the renewal occurs. (ex. give 3 credits a week, while billing monthly for 12 credits). This helps customers that have a tendency to use all their credits up in the first week and have to wait until month end to be restocked.

  • Auto-renewal settings: toggle this on if you want your subscription to automatically renew (charge) every month (or whichever billing cycle you chose above

And, as always, make sure the subscription includes the classes and appointment services you want it to be used on.

Edit a usage based subscription from a customer's profile page

This article covers how to edit a specific customer's usage based subscription from their profile. For directions on how to set up a new usage based subscription see this article.

Editing a customer's usage based subscription from their profile means the usage limit changes you make will be reflected just for that customer.

To do this, find a customer on a usage based subscription (click Customers > Customer List > search for a customer and select them.

From their profile, to the right of their subscription, click the dropdown menu and click Edit usage limits

Make changes and Submit.

In usage limit subscriptions, combine your usage credits

A usage limit subscription allows you to give a limited number of credits per billing cycle.

Examples include:

  • 10 classes a month

  • 5 appointments a month

  • 10 classes AND 5 appointments a month

This last option is an example that would give 10 class credits and 5 appointment credits. But what if you want to give 15 credits that can be used on either a class or an appointment? Combining your usage credits allows you to do this.

To do this,

Click Memberships > Subscriptions/packs > Create a new subscription or edit an existing one > Under Duration Settings, toggle on Absolute Interval > scroll to Usage Limit Settings.

Toggle on 'This subscription has a usage limit' > toggle on 'Combine Usage Limit between classes and appointments'

Set the number of credits the customer will receive & Save.

Important: if this is subscription that needs to renew every month, make sure to set the duration settings (ie. Absolute Interval: 1 month) and toggle on 'This subscription Auto-renews'.

Use rollover credits with limited use subscriptions

Limited use subscriptions give customers a set number of credits to use each billing cycle. Sometimes customers aren't able to use all of them before the cycle is up.

Enabling roll over credits allows customers to keep what credits they didn't use from the previous billing cycle.

When creating a limited use subscription you'll see an option to add the credits a customer will receive each billing cycle. After this is set, a new menu item will appear a few sections down called 'Enable

After this is figure is set, a new section will appear further down called Usage limit credits rollover. If enabled, you'll be presented with two options:

  • Add credits to next usage limit interval

  • Add credits to customer account

The former adds the unused credits to the next usage limit interval before they expire on the following interval. The latter adds them the customer's account and allows you to control how long they will last before expiring.

Limited use subscriptions vs packs: when are credits deducted?

Limited Use Subscriptions and Packages both give credits (for either appointments or classes). Both allow customers to book classes in advance, but they differ in when these credits are deducted.

How they differ

With Packages, if a customer books a class that begins a month from now, the credit is deducted immediately. This means that a customer who books a class starting next month will lose that credit today.

With Limited Use Subscriptions, it works a little differently. These subscriptions give credits each renewal period (ie. 5 credits a month). A customer who books a class that begins during the next renewal period will lose a credit from next month's renewal period, not the current one.

If the customer books a class that starts within the current renewal period, their remaining credits from the current period will be deducted.

Here's an example

A customer has a monthly membership starting on August 1st that will renew on September 1st. In August, the customer books classes for September 15th. The usage will be deducted from the September 1 to October 1 period, not the current one.

Overbooking

Allow over-booking with limited use subscriptions, give discounts on each over-booking

Sometimes customers can run out of credits before they're subscription re-ups at the end of its renewal period.

If you've created a limited use auto-renewing subscription (ex. 5 classes a month), you may want to allow over-booking. This gives that customer that's run out of credits the option to keep booking extra classes and "put it on their tab".

For example, if a customer was on a limited-use subscription that gave them 5 classes a month, and allowed for over-booking,

  • they could use up all their credits before the end of the month

  • and could then book, say, two more classes using the 'overbooking' option

This would result in the customer paying the normal subscription monthly charge plus the cost of the drop-in fees for both of those additional classes, all billed at once at month end.

If this is something you'd like to offer your customers, edit a subscription and make sure it has:

  • the usage limit toggle on

  • the number of classes or appointments set

  • the 'auto-renewal' setting on

Then scroll down to toggle on 'Allow over booking' > save changes.

You can even discount the cost of these over bookings for customers on this subscription. (Ex. $5 off the drop-in price of every extra class they buy) by:

  • tagging the membership

  • creating a price rule that gives a discount to customers with that tag

Question:

When the extra discounted charges are added to the month end sub charge, are they shown anywhere in a breakdown for the customer or host?

Answer:

Yes, from a front desk role or higher role's perspective, on the customer's profile, it’s shown in the subscription payment breakdown, if they click into the payment badge. For the customer it shows in the receipt they receive.

With 'Allow Over Booking, What's the Customer Experience?

First, what is overbooking?

'Allow over-booking' is a setting that lives under a subscription's Renewal settings. It allows customers that go over their limited number of credits per renewal cycle to continue booking, and add the cost of each additional class or appointment to their monthly renewal payment.

Are customers warned before over-booking?

Yes. Before booking a class that brings them over the limit of their limited use subscription, they'll see this message at checkout.

And this pop up if they click 'book now'.

Can customers see how many classes they've overbooked?

They can do this from their customer account by clicking Memberships > My Memberships. Notice how this subscription has a red icon on the top right that says 5/3. This means the customer has booked 2 more classes than they're subscription allowed for. All 5 classes are listed in case the customer wants to review them.
