1. What does the Google Calendar integration do?
When connected, your Momence classes and appointments automatically appear in your Google Calendar. Any time you create, edit, or cancel something in Momence, the change syncs to GCal.
2. Is the sync two-way?
No, the integration works one-way from Momence → Google Calendar.
Updating or moving an event directly in Google Calendar will not update it in Momence. All edits must be made in Momence.
3. Which Google account should I connect?
The account you connect will receive all sessions and appointments.
Recommendation: Use a shared or admin account rather than a teacher/coach account, so all appointments appear in one place.
Connected staff members who are invites will then only see their own appointments.
4. What types of events sync to Google Calendar?
Both Classes Calendar and Appointments Calendar sync to GCal.
You can choose to exclude coach time blocks by toggling the “Exclude coach time blocks” option. Time blocks in your coaches’ calendars will not sync to Google Calendar when this is enabled.
5. How quickly do updates appear in Google Calendar?
Updates typically sync almost immediately, but there may be delays due to Google’s rate limits. Please be patient as content appears on the calendar.
6. What do staff members need to do to see appointments?
Staff Gmail calendars must have the setting “Add invitations to my Calendar” set to Everyone. This ensures appointments created in Momence appear on their Google Calendar.
7. Will staff get invites or updates by email?
Yes. When events are created, edited, or canceled, staff receive Google Calendar invites/updates that they can accept.
8. How do I connect my Google Calendar to Momence?
Admins or Operators can connect GCal by:
Going to Apps & Integrations
Clicking Integrations
Selecting Google
Clicking Connect Google Calendar
The sync begins immediately.
9. Can I move or reschedule events directly in Google Calendar?
No, if you move or change a class inside GCal, it will not affect the event in Momence. All changes must be done in Momence to sync correctly.
10. Who can set up the integration?
Only Admins and Operators with access to the Integrations page.
11. Do all events sync, or can I choose specific ones?
Currently, all classes and appointments associated with the connected account sync automatically, unless you enable Exclude coach time blocks, which will prevent coach time blocks from syncing.
12. How do I disconnect or revoke access to Google Calendar?
You can revoke access at any time by clicking the Revoke Access button on the integration page to prevent any further calendar syncs from occurring.
