How to create an appointment

An appointment refers to a one-on-one or small group booking that a customer schedules with a service provider (such as a coach, therapist, instructor, or consultant). Unlike classes or events, appointments are typically personalized sessions with flexible scheduling.

Key Features of Appointments in Momence:

  • One-on-one or small group: Appointments are usually for individual clients or a limited number of people.

  • Custom availability: Providers can set their own hours and availability.

  • Private sessions: Often tailored to the customer’s needs (e.g., private yoga session, tutoring, therapy).

  • Direct booking: Customers book directly from the host's calendar.

To create an appointment, there are 4 key steps to make it work:

  • Create a board

  • Add staff

  • Add venues

  • Add services


Creating a board

Go to the Appointments section and select Boards. Create a new board, which will serve as the organizational tool for your appointments. The board will hold your services, venues, and staff assignments, and you can configure its settings as needed (e.g., slot intervals, display format, checkout flow order).

Add staff

To add staff to an appointment board in Momence:

  • Navigate to the Appointments section and select Boards.

  • Click on the specific board where you want to add staff.

  • Under the "Staff" section or tab, click "+Assign staff."

  • Select the staff member(s) you wish to add, then click "Assign selected."

If the staff member is not yet in your Momence account, first add them via Settings > Staff Accounts. Assign them a role as needed, and then follow the steps above to add them to the board.

Please note that all new staff will have their availability set to Monday to Friday, 9am to 5pm by default. If they have a different schedule, you'll need to manually change their availability.

Add venues

To add venues (locations) to an appointment board in Momence:

  • Go to the Appointments section and select Boards.

  • Choose the specific board you want to edit.

  • Navigate to the Venues tab.

  • Assign your preferred venue by selecting it from the list. If you need to add a new venue, you can do so by clicking "Manage Venues" or by going to Studio set-up > Locations > Add location.

  • When adding a location, you can specify if it is a physical location (with an address) or a room/space within an existing physical location. If you select "room/space," you’ll be prompted to choose its parent location. Please note you cannot mix physical locations with rooms/spaces once selected.

  • Once created, the new location will be available for assignment to appointment boards and when scheduling classes.

Add services

To add services to an appointment board in Momence:

  • Go to Appointments > Services and click "Add service" to create a new service, setting its name, duration, and price as needed.

  • Next, navigate to Appointments > Boards and select the board you want to assign the service to.

  • Click on Services, then "Assign Service," and select the service(s) you want to add to the board.

  • Once assigned, you can schedule appointments for this service on the board's schedule by clicking the Schedule button.

Appointment settings

If you have multiple boards and you want to apply the same settings to all of them, go to Appointments > Boards > Actions > Appointment Settings.

On this page you will be able to manage buffer times, checkout look and limitations, overlapping by staff or venue, general settings such as default board, default color and price display, and notifications.

Please note, these settings apply to all of your appointment boards, but you can override them by editing the settings of a particular appointment board.
