Allow customers to book themselves into a recurring class series

Ie. where they are booked into all future classes in this series, click Classes > Schedule > locate the class you'd like to allow this for > click the dropdown menu to the right of it > Edit Class Template.

Scroll to the bottom > click More Settings > Allow customers to book themselves into the entire series

Click Save and you'll be prompted to choose to update all classes in the series or just classes after a certain date.

Self serving customers will now see this option at checkout.

Auto check-in

Check-ins are for tracking attendance and no-shows. 'Auto check-in' saves you time when people are paying for a class thats about to start.

How does it work?

If you know that everyone you're about to ring up for class also needs to be checked in, enable auto-check-in and it will take care of this second step for you. It lives on a class roster just above the sign up list on the right hand side.

Update the price of a class in credits

If you offer most of your classes at $20, and are about to schedule a $40 class, you may want to consider increasing it's cost per class in credits from the default of 1 credit to 2 credits.

Click Classes > Schedule > locate the class > edit the class using the dropdown menu to the right > choose whether to edit just this individual class or the template.

Note that editing the template will allow you to update all classes created from that template. Editing the series will not allow you to change the price in credits.

Scroll to 'More settings' at the bottom and update the price in class credits.

Customers pick price / sliding scale pricing

Sliding scale pricing is an option you can choose when pricing a class. You'll see it listed next to the default 'Fixed' price option.

It can be viewed as a donation opportunity for customers of higher means to give back, or a more inclusive offering, allowing those that can't normally afford to pay to join.

To use it, set the lower and upper limit and Save changes.

Customers will now see a sliding scale bar in checkouts. The marker starts at the middle of the range, allowing customers to drag it to where they feel comfortable paying.

It will also show in POS when you're ringing customers up for that class, allowing you to ask the customer what they'd like to pay.

Display Customer Visit Count in Class Bookings List

Click Settings > General set-up > scroll to Misc. Account Settings > toggle ON Display visit count in class bookings list.

Class location settings

When creating a class you'll choose if its online or in person. If its in-person, you'll have options to choose from your in-person locations.

If its online, you'll have two options:

  • Allow Momence to automatically generate a new secure zoom link for every class going forward (recommended). This link will be emailed ahead of class to all signups

  • Use your own existing zoom link that remains the same for every class going forward

Spot selection in classes

This allows customers to choose where they'll sit before class. To create a class with spot selection, follow the normal class creation steps > Classes > Schedule > new class > choose a template if required.

Name it, set the max participants, the duration, assign a teacher, and location. Then scroll to Spot selection, flip the carrot, and enable spot selection.

If you don't already have a room created, click 'Add new room' and add as many spots as the Max Participant figure you typed earlier. Consider adding objects like doors to help customers orient themselves when choosing a spot.

Customers will be prompted to choose a spot when signing up. You can test their experience after creating the class by clicking the sign up link that you'll see on the class details page.

Restrictions

Require class booking with memberships only

To enable this, click Classes > Schedule > edit the class > scroll to Additional Settings > under 'Restrict who is eligible to book and when' toggle on 'Require booking with memberships only' > Save changes.

Early Access Booking Windows

Early Access Booking Windows allow you to give VIP customers earlier booking windows than others. This is done with tags. You tag a group, then decide how much sooner they can book a specific class than every one else.

If you've already tagged a special group of people, you can then restrict booking from the Class, or Class Template Settings, specifically the Additional Settings Menu.

Step 1 is to tag your memberships.

Click Memberships > Subscriptions > Packs > select the membership > click Edit Details > scroll to the bottom and click Add Tag. For simplicity, consider using the same tag on all memberships.

Note: if the membership already has a tag assigned you'll see an 'Edit Tags' feature from the membership preview page without having to edit the membership.

Step 2 is to restrict booking at the class level.

Click Actions > Edit > Scroll to Additional settings > Restrict who is eligible to book and when > Restrict bookings to customers with specific tags.

Once this setting is toggled on, check the box next to the tag you want to set up, and then you’ll have the option to allow those tagged members to book.

You'll have choices between:

  • any time

  • at the start of the month/week

  • or from a specific timeframe that you select

Create as many different booking restriction windows as you like.

Notice above how you can set up a specific window for non-members as well. To do this, toggle on Allow customers without a tag to book as well choose your timing preference.

Create a sales cutoff for classes

A cutoff will stop sales in the hours or days leading up to the start time. At the time of this writing, its possible to do this from two places: the template and the individual class. It is not currently possible to do this at the class series level.

To make these changes, click Classes > Schedule > choose a class > then edit either the template or individual class.

In either scenario, you'll find the Sales cut-off menu under 'More settings' at the bottom of the page.

Pro tips:

  • Set a negative number of minutes to allow booking after class begins. (ie. -10 would allow booking 10 minutes after the start time).

  • For day long cutoffs, use the following: 1440 = 24 hours, 2880 = 48 hours, 4320 = 72 hours.

Limit customers to 1 booking per class / session

Click Settings > General Setup > scroll to Misc. Settings > toggle on Limit sessions to 1 booking per customer. > Save changes.

Add a custom question to a class / review responses in the classes' sign up list

Custom questions allow you to ask important questions of your customers ahead of class, and give your teachers a heads up about the answers ahead of the start time.

To set this up, locate a class and use the dropdown menu to its right to edit it > Scroll to the bottom section titled Additional Settings > under Custom Questions click Add Question > add your question and Save.

Customers will now see this question listed in checkouts for this class. And teachers viewing the class details page will see the sign up list now contains the customer's answer.

Messaging

Use a welcome message

The welcome message allows you to create a special custom message for each class that sends to your customers via confirmation emails. It requires two steps to set it up.

Important: to apply these changes to all classes in a series, edit the Template associated with this class. As of this writing, editing the individual class will only edit that single class.

Write the message content on the class / template's edit page

Locate the class > click Edit class/template via the dropdown menu to the right > scroll to Additional Settings > open Welcome message > add the message > Save.

Then, In Transactional Templates add the 'Welcome Message' Variable

Click Studio-setup > click Transactional templates > search for the class confirmation template and open it.

Copy the variable for 'welcome message' > paste it into the content where you'd like it to insert that message you wrote in step 1 > then Apply Changes.

Note: The welcome message will only fire to a customer that registers for a class where you've added a welcome message.

Test it out!

Ahead of the test, double check that the transactional template is enabled and that the location listed on the transactional template matches the class you're signing up for.
