Use templates to create a recurring class series, make changes to that series
Scheduling a large number of recurring class series can feel like a redundant task. Especially if you have many variations of the same class type: think 8 different recurring Vinyasa class series taught by 5 different teachers at 2 different locations.
Thats a lot of scheduling: naming and describing each of these 8 recurring series, then filling out a full class form for each one.
Enter Class Templates, which allow you to:
save a class name and description as a template
reuse that template every time you need to schedule a variation of that class, reducing your clicks down to just these required fields:
Class duration
Teacher
Location
Start date/time
Weeks to schedule in advance
make changes from one place to all series of classes that were created from that template, by editing the template
Create a template & a recurring series
To create a template, and a recurring series from that template, click Classes > Schedule > New Class
Click Classes > Schedule > New class
Click Recurring Class > Choose a template or create a new one. (note: if you are choosing an existing template to work with, make sure its an 'in-person' template)
If you're creating a new template, for the location, choose 'In person' for the location.
Once a template has been created, create a recurring new class.
Then select a teacher, location.
Then choose the start date, start time, and end date (if applicable) -- leaving it means it will schedule indefinitely). Choose the days in between each class (typically 7)
For the 'Number of classes to display in your dashboard in advance,' if you put a 3 here and leave the following field (for customers blank), Momence will schedule this class 3 weeks out for both your staff and your customers.
Only fill out the customer field if you'd like this number to be less than what your staff sees. This will manifest the difference in classes in draft form. (Ie. if you put 5 up top and 3 down below, the remaining 2 will show as drafts internally until its time for them to be scheduled.)
To add another day of the week that this class repeats (ie. Tuesdays and Thursdays), click Add interval. Click Create when finished.
Will classes keep scheduling themselves? How do I visualize this?
Yes. Classes will continue to schedule themselves unless you select an end date to the series.
For example, above, we've set 'number of classes to display in advance' to 3. This means Momence will immediately schedule this 3 weeks out.
Below on the left is how your schedule will look right after you schedule it.
On the right, one week later, after your first class has completed, a new class will auto-schedule. This will repeat every week.
This will continue indefinitely unless you add a 'End class series on' date above, or cancel the series.
Create a virtual (online) recurring class
This article covers how to create a recurring class from a template, and how to have it repeat more than once a week at different times.
Click Classes > Schedule > New class
Click Recurring Class > Choose a template or create a new one. (note: if you are choosing an existing template to work with, make sure its an 'online' template)
If you're creating a new template, you may want to title it with the word 'Online' to make it easily identifiable later on, when you have 5 templates to choose from.
For the location, choose 'Online'. Use the 'Automatic zoom link' to have new secure link generated every class (this link is automatically sent to each class participant).

Create a hybrid class (online and in-person)
Hybrid classes allow you to show your customers one class that gives both an online and in person option. To make this possible, create two class series that share the same title, teacher, and start time.
Customers will then see one listing of the class, pictured below. Notice how, at the bottom of the listing, there are two options listed. After the customer clicks 'Book now', they'll be presented with both options to choose from.
Why would I use a hybrid class?
Some hosts prefer hybrid options because it cleans up their schedule list. The busier a schedule gets the more customers will have to scroll to find what they want.
How to check that you've set up a hybrid class correctly
If you are offering a hybrid class -- where customers see one class that allows them to schedule either online or in person -- Momence will display both classes as one if the two classes have the same:
duration
start time
teacher assigned
Pro tip: When setting up a hybrid class, make sure to create separate class templates -- One for In-Person and another for Livestream/Online Classes.
After scheduling classes from those templates -- one class from the online template and another from the in-person template, check your customer facing schedule to confirm you're classes are displaying as one option.
You can preview your schedule by clicking your logo in the top left > Your Page.
The single class listing should look like this.
If they're not displaying as one, check that each class shares the same duration, start time, and assigned teacher.

Publishing / Un-publishing classes
Sometimes our hosts ask us: “Can I hide my schedule until I’m ready to release classes to my customers?" The answer: absolutely. You can use Drafts.
Whenever you're creating a class and want to save your work without making it public (visible to customers), you can save it as a draft.
Some nuanced details
If you're creating a one-off class, on page 3 you'll see this 'Save as Draft' option at the bottom.
If you are creating a series of classes, it works a little differently. Put a 0 next to the 'number of classes to display to customers.'
Notice here how the number above it ('number of classes to display in your dashboard in advance' is set to 5). This allows us to schedule 5 weeks out, without making it public to customers. Next, click Create.
After creating, you'll notice each class is created as 'Unpublished'.
From you're schedule page, you can identify unpublished classes with is icon and publish them using the dropdown to the right.
What if I've already published classes and I need to un-publish them?
To un-publish classes, head to your Class Schedule > look for the class, click the dropdown menu to the right > click Un-publish class.
Edit when classes will be published in a recurring series
To edit when classes will be published in a recurring series going forward, edit the series, and change the 'number of classes to display in advance to customers. Change it to something closer to the number listed above it, which is the number displayed to you and your staff.
Why are my classes being scheduled as drafts?
When recurring classes are created, sometimes hosts choose to show more classes to staff than to customers. The field below (at the bottom of the page) allows a host to control this.
Example: a host has chosen to schedule this recurring class to be visible 5 weeks in advance to staff. And only 3 weeks in advance to customers.
This means that, when the series gets scheduled, the last two of 5 will be scheduled as drafts, as shown below.
How do I change this?
If you want to show customers more classes in advance than they're currently seeing, edit the recurring series.
Scroll to the bottom > update the 'number of total classes to display to customers' to be something closer to the number above (the number to show to staff) > Save.
Time Zones
Why do some customers see my schedule in a different time zone?
The timezone a customer sees is determined by where the customer's web browser thinks it is. For instance, if your browser thinks you're in PST, it will show class times in PST.
At the top of a schedule, you might see Los Angeles (PST). If it's Mountain Time you need, your customers can adjust the time zone to Denver using the dropdown menu at the top of the schedule.
Customers will have a choice between where their browser thinks they are and where your classes are scheduled to take place.
Why doesn't Momence just display all classes in a studio's local time zone?
The reason for this is that many studios offer online classes. One benefit of online classes is that customers can attend class from far-away time zones.
These customers need to see your classes' start times listed in their local time zone so as not to miss class.
What if my customer is in my timezone but still sees my classes in another time zone by default?
If a simple refresh of their page doesn't fix the issue, then quitting and restarting their browser should help. They can also try clearing their browser's cache.
