Customer Barcodes for Self Scanning Check-in

Do you offer 24/hour access to your gym or space, or just have times where the check-in process feels like a madhouse (i.e. big class sizes or multiple classes at the same time)? Well, we have something to make this process a whole lot easier for you and your customers!

Introducing: customer barcodes for self check-in. With this new feature, the system can automatically generate a key code number to all customers, which customers will be able to access with the click of a button from the Momence app. Previously, you could create and assign key fobs for your clients, but that just gives them one more thing to forget to bring with them, whereas we doubt anyone will forget to bring their beloved phone to class 😉

You can turn this on under Settings > General set-up > toggle ON Automatically generate self check-in keys for all customers.

Once enabled in your settings, customers will see the below icon next to “message” on the main page of their app. Tapping the icon will pull up their unique barcode so that they can easily scan in!

Note that if you do have customers with previously assigned key fob numbers, this will autogenerate them a second one which will be viewable on their app, and the key fob will still work as well.

Allow customers to check into your gym with key fobs

If you have a key fob scanner and want to allow customers to scan themselves in on arrival, you can assign key cards to customers from their profile. Scanning a customer in can be done by using the search bar at the top of your dashboard.

To set this up,

grab the key fob you'll be scanning, then navigate to the customer's profile via Customers > Customer List > search for them > click their name

From their profile, click Actions > Self check-in keys

Click the field for 'Assign Customer Key' so the cursor populates > then scan the key fob > click Assign.

If you aren't using key fobs, you can enter a code manually that they'll use to sign in.

After assigning a code you'll see it listed with an option to delete it.

To sign someone in, from the dashboard > click the search bar at the top > scan or type the code and hit enter

You'll see this confirmation page with options to book them into class, open their profile, or simply close the window

Allow customers to check in with a key code

If you're using a key fob scanner at the front desk and want to assign key fobs to customers, you can do this from their profile page, using the Actions menu in the top right hand corner.

To locate a customer, click Customers > Customer List > locate the customer > click their name

Then, from their profile, click Actions > select Self check-in keys

Put the cursor in the Customer Key field, grab a key fob and scan it. This will populate the number associated with the bar code. You can now hand the key fob to the customer.

Use the URL listed in the pop up above to allow your customers to scan in on their own. We recommend having a separate device running at the front desk that stays on this URL with a key fob scanner plugged in.

Customers will see a screen like the one below. Note that if you have more than one location Momence gives them the option to choose from your locations. If you prefer they don't have to do this you can use one of the special location specific URLs listed in the pop up where you assigned the key originally (pictured above).

After scanning or entering their code, if the customer is currently registered for a class, they'll see an opportunity to check in to that class.
