Diagnostic Codes

What are Diagnostic Codes?

Diagnosis codes (ICD-10) fall under HIPPA compliance and exist to standardize medical language. They expedite communication between providers, insurers, and public health agencies. And, they're essential for billing and reimbursement.

How do I set this up?

Activate the app from Apps & Integrations > App Store > Medical > Customer Diagnosis.

Click the app > click App Settings.

By default, ICD-10 is enabled, but you're not required to use just ICD-10 codes. You can customize your own if preferable.

Next, consider if you'd prefer to require staff signatures when assigning codes and locking codes.

What are the default permission settings by role?

To save you time on looking through each role, these are as follows.

Admins, Operators & Teachers can view and manage codes.

Front Desk has no permissions enabled.

Admins can view and manage settings for diagntosic codes

(Found under the 'Settings' section of the permissions page).

Update permissions for what each staff role can view and do with diagnostic codes

Click Settings > Roles > click on a role to edit > click Permissions > scroll to Customers > at the bottom of the 'Customers' section (or just above 'Financials').

What's the staff experience?

From the appointment details a staff member with the correct permissions can click 'Add Diagnosis' and assign a code to this patient.

You can search for a specific ICD-10 code or select 'custom' to create your own. Click 'Save Diagnosis' when done.

Afterward, to sign / lock the diagnosis, click 'view diagnosis'.

Click Sign Diagnosis

Then add a signture > choose whether to sign & lock or just sign.

The end result will display like this.

Check a customer's existing diagnosis from their profile / add a new diagnosis

From Customers > Customer List > select a customer > click Diagnosis.

Existing diagnosis will show here and new ones can be added via the 'Add diagnosis' button.

Clicking 'Add diagnosis' will allow you to associate it with a specific appointment using the toggle at the top of the pop up, or just to add a general diagnosis without associating it with a specific appointment.

Generate and send an invoice with a diagnostic code displayed

From an appointment's details page, click 'Generate healthcare invoice' > then choose where to send it.

The diagnostic code will appear just above the itemized services.

Note: codes will appear on the invoice only if sending to customer/insurance provider OR when downloading if the staff member has permissions to access to diagnostic codes.

In other words, if an employee doesn't have permissions to view diagnostic codes, they won't see the code on the invoice when downloading.
