New Improvements to Online Appointments

We've improved how online-based appointments are handled and introduced new ways how to set them up. Here's what's new:

Zoom Additional Licenses Management

You can now add additional zoom licenses from your connected main Zoom account in Momence.

Click Apps & Integrations > Third party integrations > Zoom

These licenses are identified by e-mail address (same as the one used in Zoom) and can be made available for generic "zoom account pool" and/or be directly associated with multiple teachers within the system.

These licenses can be then used when setting up appointment services or classes (more below).

Online Meeting Settings Per Teacher

Each teacher can now be associated with a specific zoom license. Or, a single zoom license can be shared with multiple teachers.

If you prefer not to use zoom, each teacher can now have a custom meeting link & password setup, using a 3rd party.

Click Studio set-up > Teachers > create/edit teacher > scroll to the Appointments section.

Setting Up an Online Appointment Service

When setting up a new service, you'll now be prompted choose whether the service is "in person" or "online".

Click Appointments > Services > create/edit service

When selecting "online", new options will show that allow you to further customize how the online meeting should be setup:

  1. Zoom, use only main account: The main connected zoom account will be used to create the link.

  2. Zoom, use any account from generic pool: All additional licenses marked for generic pool can be used to create the meeting - the system will check for conflicts and pick the first available license/account.


    Note: The main account is not part of the pool and is not considered with this option selected.

  3. Zoom, use account associated with staff: When the appointment is booked, the system will check to see which teacher was booked and use their associated zoom license.
    ​

  4. Custom static link specified on Service: You can specify a custom 3rd party link (and an optional password). Whenever this service is booked, that link will be used, regardless of who the teacher is.
    ​

  5. Custom static link specified on Staff: When an appointment is booked, the system will look to see which teacher was booked and use their associated custom link.
    ​

Schedules Now Show a Visual Hint About the Appointment Type

Online appointments will now show an online icon to differentiate online vs in-person appointments.

Click Appointments > Schedule. This is also shown on Combined Schedule: click the top right 'Schedule' button to show both classes and appointments together.

New email/sms variables

Each transactional template for online appointments now have two new variables:

{{meetingLink}}

{{meetingPassword}}

These are universal and work regardless whether zoom or other custom 3rd party links are used.

Click Studio set-up > Transactional templates

Note: If you're already using the original variables {{zoomLink}} and {{zoomPassword}} these will continue to work. However, for newly created emails they are no longer available.
